Privacy Policy

Interview Intel is a personal portfolio project built by one developer — not a company. It's provided free and as-is. This page explains, in plain English, what the app collects, where that data goes, how long it's kept, and how you can delete it. It isn't formal legal advice.

What you give me

• Your account — your email address and a password. The password is stored only as a hash, never in plain text. Verification and password-reset tokens are stored temporarily and expire after a few hours.
• The emails you paste in — the full text of each message you submit for analysis, exactly as you pasted it, together with the optional subject and sender address you enter and any notes you add afterwards.
• Job applications you track — the company, role, status, dates, links and notes you enter on the Applications page.

What the app creates from it

• Analysis results — the category, urgency and job field assigned to each email; the details extracted from it (company, role, interview stage and format, dates, times, locations, and the language detected); and the preparation guidance, suggested questions, reply drafts and summaries generated for it.
• Tasks and notifications generated from each analysis.
• Processing records — a count of the analyses you've used (there's a lifetime allowance per account) and a short internal note per message recording which analysis steps ran.

The submitted email text and its results are stored so the app can show you your history — previous submissions, their results, tasks and notifications — and so features such as archiving, notes and applications work across visits.

Technical data

• Server logs — standard logs of requests to the app, including your IP address, used to keep the app running and to investigate problems. If an AI response can't be read by the app, a short fragment of that response may be recorded in an error log.
• Rate limiting — request counters, kept in a short-lived cache for up to 24 hours, keyed by your account or by IP address when you're not signed in.
• Cookies — a session cookie that keeps you signed in, a security token that protects forms, and — only if you tick "remember me" — a longer-lived sign-in cookie of up to a year. The app uses no analytics, advertising or tracking scripts.

Other people's information

The emails you paste usually contain information about other people — recruiters' names, email addresses, phone numbers, calendar links and company details. Interview Intel stores that information as part of your message and handles it exactly like the rest of the text, including sending it to the services described below. You're responsible for making sure you're allowed to share what you paste. Please don't paste anything highly sensitive, such as health, financial or identity-document details: the app doesn't need it and isn't designed to protect it.

What happens to the text you paste

• The app first detects the language of the email on its own server.
• If the email isn't in English, its text is sent to Google Translate to produce an English version, and that English version is what the following steps work from. English emails skip this step.
• A classifier running on the app's own server assigns the category, urgency and job field. Nothing leaves the server for this step.
• The email text (in English) and the details extracted from it are sent to Anthropic (the Claude API) to extract details and to generate the guidance, questions, reply drafts and summaries.

Interview Intel does not intentionally attach your account email address or any account identifier to the requests it sends to Anthropic. However, whatever is contained in the text you pasted — including names, email addresses or phone numbers, yours or other people's — is included, because that text is what's being analysed.

Anthropic and Google process that text according to their own terms and privacy policies. Interview Intel does not use your emails to train any model. Its classifier is trained on synthetic email samples plus a small set of the developer's own messages; user submissions are never used for training.

How I use your data

• To run the analysis and show you the results.
• To keep your history — previous submissions, results, tasks, applications and notifications — so you can come back to them.
• To improve later analyses using your own earlier submissions: if the app can't determine a job field from an email, it checks your previous emails from the same sender. It never uses other users' data for this.
• To enforce the per-account analysis allowance and rate limits.
• To send account emails: verification, password reset, and a notice when your password changes.

Who else receives data

• Anthropic — the pasted text and the details extracted from it, for AI analysis (see above).
• Google Translate — the pasted text, only when an email isn't in English (see above).
• Resend — your email address and the content of account emails, in order to deliver them.
• Railway hosts the app, its database and its background workers, and Cloudflare handles traffic in front of it; both see the technical data involved in serving your requests, such as your IP address.
• Google Fonts — pages load their fonts from Google's servers, so Google receives your IP address and browser details when a page loads.

Each of these providers processes data according to its own terms and privacy policy. Apart from them, your data isn't shared with anyone. I don't sell your data, and I don't use it for advertising.

How long I keep it

• Your emails, results, tasks, applications, notes and notifications are kept until you delete them or delete your account. Nothing is deleted automatically, and archiving a message keeps it.
• Verification and password-reset tokens expire after a few hours. An account that is never verified can't sign in, so it stays in the database until it's removed — email me if you'd like one removed.
• Rate-limit counters expire within 24 hours.
• Server logs are kept by the hosting provider according to its log-retention settings.

Your controls

• Delete a message from its page. This also removes its analysis, tasks, notifications and processing records. Notes, tasks, applications and notifications can also be deleted individually.
• Export your data — on your Account page, download a JSON file of your messages, their results and tasks. The export doesn't currently include job applications or notifications.
• Delete your account — on your Account page, choose Delete my account. This permanently removes your account and everything tied to it: messages, results, tasks, applications, notifications and tokens.

Deleting something removes it from Interview Intel's database. It can't recall copies already sent to Anthropic, Google or Resend, which handle them according to their own policies, and it doesn't alter server logs. Deleted data may also remain for a time in database backups held by the hosting provider.
